What should an office cleaning checklist cover, room by room?
Each room gets its own short list: what is done every visit, what weekly, what monthly, and what is not included. That is the list the crew signs off and the one you check the next morning. Report a missed item by 6:00 p.m. the next business day and we redo that area at no charge.
Why organize the checklist by room?
A checklist written by task ("dust surfaces, empty trash, clean glass") reads well in a proposal and fails at 11 p.m., when a crew member has to decide whether "surfaces" includes the conference table covered in laptops. A checklist written by room answers that question in advance. It is also how you will check the work: you walk into a room and see whether its list was done.
The lists below are a starting point. Your own is written for your office at the walkthrough, with your rooms and your exceptions.
Reception and entry
- Every visit: entry door glass and handle, reception counter, seating and side tables wiped; trash emptied; floor vacuumed or mopped.
- Weekly: glass partitions and interior windows by the entrance; the full length of the reception counter, including the front panel.
- Monthly: a detailed pass on the reception area, including chair legs and the corners a nightly visit skips.
Open office and workstations
- Every visit: trash and recycling emptied at every desk; cleared desk surfaces wiped, as agreed; floors vacuumed.
- Weekly: desks and surfaces detailed; partition tops and edges dusted.
- Agree in advance: whether desks with papers or equipment on them are wiped around or skipped. Most offices choose to skip them.
Private offices
- Every visit: trash emptied, floors vacuumed, door handles and light switches wiped.
- Agree in advance: locked offices. If a door is locked, the crew leaves it. If the office wants it cleaned, the scope says how the crew gets in.
Conference rooms
- Every visit: table and chairs reset, table wiped, trash emptied, floor vacuumed.
- Weekly: glass walls and doors; chair arms and the remote controls everybody touches.
- Agree in advance: whiteboards. Many firms want them left alone.
Kitchen and break room
- Every visit: counters and sink cleaned, appliance fronts and table wiped, trash and recycling emptied, floor mopped.
- Agree in advance: the inside of the fridge and dishes. Neither is assumed; if you want them, they are written in.
Restrooms
- Every visit: toilets, urinals, sinks, mirrors and counters cleaned and sanitized; touch points wiped; trash emptied; floor mopped.
- Agree in advance: who restocks. Paper towels, toilet tissue, hand soap and trash liners are supplied by you unless your written scope says otherwise.
We bring the cleaning products and equipment, and they are included in your price.
Trash and recycling, every room
Every visit ends with the trash and recycling out of every room and into the place your building uses: a trash room, a compactor, a dumpster or carts. Massachusetts keeps cardboard, paper and recyclable containers out of the trash, so recycling is a separate stream on every list.
What stays off the list
Some work is never part of the routine checklist. Commercial carpet extraction, floor buffing or sealing, disinfection, post-construction cleaning and an initial office deep clean are add-ons, quoted separately. Biohazard, pest control, painting and moving heavy furniture are not part of our service at all.
How a checklist becomes proof
The list is only useful if it is signed off. Each visit is closed against the written checklist, with before-and-after photos of the areas cleaned, after hours in our 10pm–2am overnight window.
Report an issue with a photo or description by 6:00 p.m. the next business day and we redo that area at no charge on the next visit or the next business evening. A missed visit is made up the next evening and credited on your next invoice.
You get the scope in writing before any work starts, and nothing is added or changed without your written approval.
FAQ
Can we change the checklist after we start?
Yes. Any change to the rooms, the tasks or the nights is written into the scope and approved by you first.
Do you clean inside the fridge?
Only if your scope says so. It is never assumed.
Who supplies paper towels and soap?
You do, unless your written scope says otherwise. We bring the cleaning products and equipment.
