After-hours office cleaning: how do alarms, keys and proof of work fit together?
Agree access in writing before the first night: how the crew enters, how the alarm is handled, which rooms stay closed and how the office is left. Give the cleaning company its own alarm code if your system allows. Then require a record for every visit, such as a completed checklist with photos.
How do night cleaning crews get into the office?
Usually with a key, a fob or card, or a door code issued to the cleaning company. Whatever the method, write down who holds it, where it is stored when not in use, and what happens to it when the contract ends. Avoid hiding a key on site or sharing a staff member's personal code.
How should the alarm be handled?
- Separate user code. Many alarm systems allow several user codes. A code for the cleaning company makes its arm and disarm times visible in your alarm history and easy to delete later.
- Call list. Tell your alarm monitoring company who the crew is, and agree who gets called if the alarm trips.
- Exit routine. Agree the order: lights, windows, doors, then arm.
- False alarms. Ask your alarm company how false alarms are handled in your town, and write the instructions down so the crew follows them every time.
What should be agreed before the first night?
| Item | Write down |
|---|---|
| Entry | Key, fob or code; which door |
| Alarm | Disarm and re-arm steps; who the alarm company calls |
| Rooms | Which rooms the crew enters and which stay closed |
| Leaving | Lights, doors and windows at the end of the night |
| Trash | Where trash and recycling go after hours |
| Contact | One person at your office for questions and reports |
How do you know the work was done?
You are asleep when the crew is there, so the proof has to come to you. Useful records, from strongest to weakest:
- A completed checklist per visit, matching your written scope, finished before the crew leaves.
- Photos of areas serviced, taken at the time, without people, screens or documents in frame.
- Time on site, through check-in and check-out records or your alarm's arm and disarm history.
- Your own morning look at restrooms, kitchen and trash, the places where a skipped night shows first.
A short monthly check-in with the company keeps small issues from becoming the reason you switch. If you only have time for one habit, look at the restroom and the kitchen trash first thing in the morning on the day after a scheduled visit; those two places tell you quickly whether the crew was there and how carefully it worked.
What should happen when something was missed?
Report it the same way every time, with a photo or a short description, within whatever window your contract sets. Keep the reports. A pattern of the same item missed is a scope or training problem to raise with the company, not something to keep fixing yourself.
How does JCIL handle access and proof?
Offices are cleaned after hours, in our overnight window; our shift runs 10pm–2am. At the walkthrough we agree entry, alarm steps, rooms, lock-up and trash, and write them into the scope. A cleaning is not finished until the room-by-room checklist is complete and the photos are in, and you get them; each visit is recorded with time-stamped check-in, check-out and photos. Each month we send a 2-minute satisfaction form, and a score below 90% opens a written corrective action with a date. If something is missed, our Checklist Promise applies: you report it with a photo or description, and we redo that area at no charge, as written in the agreement.
FAQ
Should the cleaning company have its own alarm code?
If your system allows several user codes, yes. It makes their access traceable and easy to remove later.
Do I need to be there for the first night?
Not if access is agreed in writing beforehand. Walk the office the next morning and report anything missed.
What proof should I expect after each visit?
At minimum a completed checklist. Photos of serviced areas and time-on-site records make it much easier to verify.
What if the crew sets off the alarm?
Your alarm company follows its call list. Agree that list, and the crew's exit routine, before the first night.
